Administrative Assistant - Facilities

Department: Administration
Location: Lowell, MA

The Administrative Assistant is responsible for providing a wide range of administrative and office support to the management team to ensure the efficient operation of the department.

Responsibilities include:

  • provide administrative support for Facilities team
  • billing and report generation
  • entering and retrieving statistical data; compiling reports
  • maintaining and updating project address lists; responding to information requests
  • manage purchases for the department, order supplies, track office expenditures; assist in the management of an inventory system
  • prepare and send 24-hour notices for distribution to program
  • assist in the data entry, management, and assignment of work orders within the work order system; generate reports and manage data within the program
  • assist managers in scheduling vendors and communicate changes
  • establish, maintain, and update electronic filing system to ensure accuracy of files
  • assist in vendor and building inspections schedule and work with managers to ensure timely execution of inspections
  • ensure effective telephone and mail communications both internally and externally
  • perform other related duties as assigned

Successful Candidate will Possess:

  • High School Diploma or equivalent required.
  • Associates Degree preferred.
  • 1 year of clerical, receptionist and/or office experience required.
  • 1 year of work within facilities, operations or property management field preferred.
  • Familiarity with State and Federal low income/subsidized housing programs, state sanitary code, landlord tenant rights and responsibilities preferred.  
  • Proficient computer skills to include: Windows, Microsoft Word, Excel, Internet, and comfort learning new software and tracking systems.
  • Ability to work well under pressure and have good problem solving skills.
  • Ability to manage multiple priorities and work in a fast-paced environment with minimal supervision.
  • Pleasant personality and professional telephone manner is essential.
  • Excellent organizational, oral and written communication skills, customer service skills.
  • Good attention to detail and ability to maintain confidentiality essential.
  • Experience in facilities, operations or property management administration is highly preferred.  
  • Desire to work with low-income, culturally diverse, and at-risk families
  • Ability to work effectively with and meet the needs of people from a diverse range of backgrounds, cultures, and identities, including underserved communities and people from the different racial groups, socioeconomic statuses, nationalities, and languages that make up CTIís clientele
  • Must have evidence of full COVID-19 immunization or a religious or medical exemption upon hire.
  • Must be able to pass EEC background check which includes fingerprinting. 
  • Bilingual skills (Spanish/English) is preferred.
